The Challenge

Prior to MyPass, Programmed, operating at massive scale, faced limited visibility into available personnel within its Energy and Resources division, causing delays in rapid mobilisation.

The Solution

Programmed implemented the MyPass platform across the Energy and Resources division, now holding 4,000+ personnel profiles. MyPass streamlines recruitment and mobilisation, providing visibility into workforce availability and location.

The Results

Fill rates have reached 95% and above in the high-pressure shutdown space, leading to business growth and the ability to "Win More Business." There was a 30% reduction in the all injury frequency rate, contributing to safety improvements.

The Challenge

Programmed, employing nearly 30,000 people across Australia and New Zealand and servicing over 10,000 customers daily, operates at scale. Within its Energy and Resources division, the company plays a critical role in supporting the mining, heavy industrial, and oil and gas markets. The division ensures customers’ day-to-day operations are supported by a strong contingent workforce.

When Programmed is called upon to provide people to support a customer, the pressure is immediate - the clock is already running and mobilisation is on the critical path. Rapid response is essential. However, prior to adopting MyPass, visibility into available personnel was limited, and mobilisation processes were heavily manual, leading to delays.

Compliance management was also a significant burden. Document verification, approvals, and credential management were time-consuming, placing strain on recruitment and mobilisation teams and increasing the risk of delays or errors.

The Solution

To meet these challenges, Programmed implemented the MyPass platform across its Energy and Resources division. MyPass became an integral part of the onboarding process and now holds profiles for over 4,000 personnel. The platform is critical to Programmed’s operations, streamlining recruitment and mobilisation processes.

MyPass provides Programmed with visibility into workforce availability and location, enabling rapid redeployment to customer sites. With credentials stored digitally, workers can be mobilised quickly and with full compliance assurance. Importantly, MyPass conducts compliance checks and presents a consolidated project overview on a single screen, significantly reducing the administrative burden.

The unique differentiator of MyPass is the portability of its Skills Passport, which allows individuals to own and manage their own information. This digital passport enables workers to move from site to site without needing to re-upload certifications, while giving Programmed a secure, standardised, and privacy-conscious way to verify qualifications.

“The ability for a person to own their information and that data is portable on their behalf is what makes MyPass particularly unique. We see MyPass as a value driver to address the challenges within the industry and the regulatory environment that we are faced with.” - Asher Ryall, General Manager, West

The Results

1. Win More Business

With MyPass, Programmed has dramatically improved its ability to respond quickly to customer needs. The platform provides immediate visibility into available talent and ensures those workers are site-ready, building customer confidence and enhancing Programmed’s value proposition.

“MyPass has given us the absolute confidence that we could deploy and deliver the right people with the right skills at the right time for our customers and provide them that assurance and that risk management.” - Asher Ryall

The improved agility has driven business growth, particularly in high-pressure shutdown projects. Programmed has seen fill rates reach 95% and above.

“Implementing MyPass into our business has enabled us to improve our fill rates, particularly in the shutdown space, up to 95% and above now.” - Asher Ryall

2. Improving Health and Safety

Using MyPass has contributed significantly to safety improvements across Programmed worksites. The standardised compliance process ensures that only qualified, certified workers are deployed, reducing incidents and improving overall workforce safety.

“We’ve seen a reduction of 30% in our all injury frequency rate and a lot of that is contributed by using MyPass platform and making sure that we’re putting the right people on our customer sites.” - Asher Ryall

3. Operational Efficiency and Cost Savings

Programmed has grown exponentially over the past three years. Despite this, the company has not had to increase its internal recruitment headcount, thanks to the efficiencies delivered by MyPass. By streamlining onboarding and compliance, the platform has eliminated a large portion of manual administrative work.

“Our business has grown exponentially over the last three years and yet we have not had to really grow our internal recruitment headcount because of the efficiencies that MyPass provides.” — Asher Ryall
“Having MyPass do the compliance checks for us and that project overview of the compliance so we can see it in one screen has taken a lot of the administration burden away from the team.” - Kayla Lombardo, Superintendent, West

4. Faster Worker Mobilisation

Prior to MyPass, the process of getting a worker approved for a site could take up to a week and a half. Workers had to manually scan and send documents, which then needed to be processed by multiple people before approval.

Today, with MyPass, all documentation is digitally stored and submitted through a single platform. Approval turnaround has been reduced to just a day or so.

“Previously, it would have taken up to a week, week and a half, trying to get my documents scanned, sent to the right people, approved, and then sent back to me being approved. Whereas now using MyPass, I’ve got everything digitally scanned into one platform. It only takes a day or so to get approval back for those sites, so I’m ready to go.” — Daniel Terblanche, Boilermaker Leading Hand

“Using MyPass has made our mobilisation process three times faster.” — Kayla Lombardo

Conclusion

MyPass has become an essential enabler of Programmed’s business strategy—supporting workforce scalability, safety, and speed across high-risk, high-demand industries. By digitising and decentralising workforce compliance, Programmed has enhanced its competitive edge while delivering superior outcomes to customers and workers alike.

“With the MyPass Skills Passport, I’m able to go from site to site with my certifications on my phone, not needing to re-upload them over and over again.” — Daniel Terblanche
“As a large employer, we certainly have many obligations in relation to data privacy. The mobility of the Skills Passport mitigates much of that risk for our organisation.” — Asher Ryall
